Best Time RV Rental TermsPayment
A non-refundable deposit will be taken from your nominated credit card at the time of booking confirmation. The percentage of the total fees payable upon booking confirmation will vary depending on the number of days your booking is placed before travel commencement.
The balance of payment due will be deducted from your nominated credit card 35 days prior to the commencement of your rental. Please ensure there are sufficient funds available on your card as you place your booking. However, if you are booking within 35 days of travel, or you choose to book in a currency other than US$, the entire cost of the rental will be transacted from your nominated credit card at the time of booking confirmation.
Note: If applicable any fees payable upon arrival will be itemised as such in your final breakdown of pricing.
Upon confirmation that your selected vehicle is available a non-refundable booking deposit will be taken from your nominated credit card. In addition to this the following cancellation fees apply:
Day of booking confirmation up:
up to 45 days prior to pick up date 10% of total rental days charges
44 to 32 days prior to pick up date 30% of total rental days charges
31 to 18 days prior to pick up date 50% of total rental days charges
17 to 4 days prior to pick up date 75% of total rental days charges
3 days or less prior to pick up date or no shows 100% of total rental days charges
Separate cancellation policy applies for group bookings (6 vehicles and more). Vehicles
Vehicle is on a Dodge ProMaster Chassis, layout displayed is only a guide, specific model and layout cannot be requested. This applies to the B-21 vehicle.
Customers who fail to arrive on pick-up day or decline vehicle at pick-up for whatever reason are considered as a departure day cancellation (no show) and will be charged 100% of the rental days.
Reservation changes are subject to availability. The rate will be recalculated using the most current Flex rate. Compared to the booked rate? the higher rate will apply. Any modification of reservations is subject to a USD 25.00 handling fee.
Please note: these are the fees set out by the supplier in addition to those on the website amendment fees.
One-way charges for confirmed one-way bookings
For one-way rental cancellations, the full one-way drop-off charge plus taxes will be added to the regular cancellation charges.
The Supplier strongly recommend that clients ensure they take out the highest level of travel insurance. In many cases, this will cover any losses incurred if you are forced to cancel your booking.
Calculation of Invoices
The calculation of rental days will be determined on a “per night” basis as is standard practice in the hotel and tourism industry. The pickup day is counted as the first rental day, and there is no charge for the last rental day on which the vehicle is being returned. Invoices will be issued according to the information received in your reservation request.
CLIENT: PICK-UP and DROP-OFF INFORMATION
Best Time RV offers TWO different types of Pick-ups:
Early pick-ups are provided at a cost of $164.00 per rental for pick-ups July 1 – Sep 30 and at a cost of $ 54.00 for pick-ups Apr 1 - June 30 and Oct 1 – Mar 31. These Early pick-ups include transfers from designated hotels to rental location as described below and the possession of the rental vehicle is in the morning.
Regular pick-ups are at no extra cost and DO NOT include transfers to rental locations and are described below and the possession of the rental vehicle is in the afternoon.
EARLY PICK-UP (transfer to rental location included)
- There is a cost for this additional service.
- Overseas customers must overnight before picking-up their rental unit.
- Customers must be ready for pick-up at 07.30 hrs at one of the designated transfer hotels at specified customer waiting areas (exceptions are listed separately with the transfer hotel information).
- Hotel transfer is only provided from the customer waiting area of the designated transfer hotels.
- Customers are requested to report at the time of booking or not later than three working days before pick-up date in which designated transfer hotel customer is staying overnight and how many people are in customer's party.
- Transfers are only provided from the designated hotels if we have been informed of the transfer within the indicated time frame. Customers must be ready at the stated time and customer waiting area, otherwise, no pick-up transfer will be provided.
- Transfer times listed are approximate due to traffic and weather conditions. Best Time RV is not responsible for refunds due to delays for any of these conditions.
REGULAR PICK-UP (no transfer included to rental location)
- Vehicle Pick-up: Mo-Fr 13.00 – 15.00 hrs, Sa 10.00 – 11.00 hrs
- Customer must arrive at the rental location at their own expense. No transfer to the rental location is provided by the rental company.
- Reserved rental vehicles will not be provided for pick-up before 13.00 hrs Mo-Fr or before 10.00 hrs Sa.
- Reserved rental vehicles may be delivered as late as 15.00 hrs Mo-Fr or 12.00 hrs Sa.
Vehicle Drop-off and Airport Transfer
- Vehicle drop-off hours are from 09.00 to 11.00 hrs.
- Airport Transfer is only provided if drop-off time is on or before 10.00 hrs: Airport transfer is included in Prep Fee and provided to all renters who drop-off their rental vehicles on or before 10.00 hrs at no extra cost. Shuttles leave (around 11.00 hrs) from our rental location to the Las Vegas(LAS), Los Angeles (LAX) or San Francisco (SFO) airport only. Please do not book return flights with departures before 14.00 hrs, if customers want to take advantage of the free drop-off transfer to the airport.
- No Airport Transfer is provided if drop-off time is after 10.00 hrs. Drop-offs after 10.00 hrs may take longer than the time the airport shuttle leaves, hence if customers arrive at the rental location for vehicle drop-off after 10.00 hrs, no airport transfers are guaranteed anymore.
- Late vehicle drop-off (drop-off after 11.00 hrs): Late vehicle drop-off surcharges are USD30.00 per hour. No airport transfers are provided in the event of a late vehicle drop-off. No refunds are made for early returns or unused portion of rentals.

CLIENT: INSURANCE INFORMATION
Public Liability Insurance (included in daily rental rates)
Best Time RV maintains liability insurance coverage on all their rental vehicles for bodily injury and property damage liability claims brought by a third party (other than a passenger) against the renter (and any other driver listed in the rental contract) and/or the company as a result of the operation or use of their rental vehicles. The policy protects the company for USD 5 million and the renter for statutory limits applicable in the jurisdiction where rented. This basic public liability coverage is included in all rental rates. All coverage and waivers are subject to the express terms of the rental contract.
SLI Supplemental Liability Insurance (included in daily rental rates)
Best Time RV maintains supplemental liability insurance coverage on all their rental vehicles for bodily injury and property damage liability claims brought by a third party (other than a passenger) against the renter (and any other driver listed in the rental contract). The policy increases statutory limits to USD1 million for the renter. This supplemental liability coverage is included in all rental rates. All coverage and waivers are subject to the express terms of the rental contract.
Customer Responsibility with CDW = Collision Damage Waiver and VIP = Vacation Interruption Protection (included in daily rental rates)
In the absence of CDW, all loss or damage to the vehicle while on rent, whether or not due to the fault of customer, customer’s responsibility for direct and accidental loss (including theft and vandalism) or damage to the vehicle is unlimited. That is, the customer is responsible for all loss or damage.
For Renter’s benefit, all daily rental rates for all vehicles includes Collision Damage Waiver (CDW) and Vacation Interruption Protection (VIP). With CDW and VIP, the customer’s responsibility for accidental damage, theft and vandalism (police report is required) to the vehicle is reduced to USD 1,000.00 per occurrence.
CDW does not apply to overhead-, undercarriage- or backing up- damage, which shall be considered negligent damage and the sole responsibility of the customer.
Expenses are covered in the event of a mechanical breakdown requiring the vehicle to be in repair for more than 12 working hours as follows:
Incurred expenses of USD 30.00 per person per day for lodging and USD 30.00 per group per day for other transportation is provided. A limit of USD 3,000.00 per tour applies and this plan is not valid in the case of an accident. Customer must present all receipts for the refund of expenses.
Not considered to be mechanical breakdowns are: Radio, TV, DVD-player, air conditioning, refrigerator, generator, microwave, appliances, automatic step, cruise control, slide-out or awning malfunctions.
CDW and VIP coverage is void (I) if a customer fails to file an accident/damage police report, or (II) if the vehicle is used in violation of the terms of the rental contract.
Deposit for all rentals is USD 1,000.00 (will strictly be enforced, authorized / not charged)

CLIENT: PREPARATION FEE
This is a mandatory one-time charge per vehicle per booking. It is applicable to all bookings without exception.
The Preparation Fee covers
- Standard Kit per vehicle
- First supply of toilet chemicals
- First roll of toilet paper
- Vehicle cleaning
- Drop-off transfers
There are no refunds for unused toilet chemicals or toilet paper and there are no refunds if customers do not meet the transfer rules and did not take the advantage of transfers or if customers decide to do own transfer at their own cost.
We offer GPS units at our rental location. Please pre-order these with the reservation to guarantee availability at point of pick-up. Best Time RV is not responsible for any GPS map accuracies, errors or updates.

USD 2,162 non-refundable supplement, charged for all pick-ups in LAS, LAX and SFO the $ 1,000 security deposit will be charged instead of authorized at pick-up
Maintenance and Cleaning Responsibility
Customers are responsible for checking all fluid levels at each refuelling. Refills of all fluids (except gasoline and propane) will be reimbursed at check-in upon presentation of receipts.
Gasoline and propane costs are not included in rental price.
Gasoline and propane tanks are full at pick-up and must be returned full.
Vehicles must be returned clean inside. Waste tanks must be emptied prior to return. Otherwise, additional charges may occur.
Repairs / Refunds / Early Returns / Long Term Rentals
Necessary repairs are reimbursed without previous authorization up to USD 50.00. Customer must provide receipts. If customers pay repairs exceeding USD 50.00 without previous authorization, we will not reimburse. Clients assume full responsibility for any additional expenses incurred by reasons of a breakdown of the vehicle. If a vehicle which had a breakdown and is in repair for more than 12 working hours, through no fault of the customer, our responsibility to the client is limited to refund the daily rate or a portion thereof (VIP coverage).
No refunds or reimbursements will be made for breakdowns in Death Valley (between June 15 and September 15).
Malfunctions of Radio, TV, DVD-player, air conditioning, refrigerator, microwave, any appliances, plumbing, generator, cruise control and awning are not considered mechanical breakdowns and no refunds are made for repair time to these items. There will be no refunds made for the early return of a rental vehicle. Customers renting for more than 30 days will receive a multiple page rental agreement with one page for every 30 days of the rental period or part thereof.
In a case of an accident, customers must notify the police for a police report immediately, also inform the drop-off station within 24 hours and make a full report in writing. CDW/VIP accident coverage is void if a customer fails to follow these procedures.
Credit Cards / Traveller Checks
We accept MASTERCARD, DISCOVERCARD, VISA and AMEX credit cards as well as all Traveler Checks in US-Dollars. No Euro checks or debit cards are accepted. We are not responsible for exchange rate fluctuations or handling charges for any credit card transaction. Without any exception, a valid credit card is required for each rental.
Drivers License / Drivers Age
A national automobile driver’s license is required.
We recommend customers to carry a translation of the national driver’s license or an international driver’s license, but under any circumstances, the customer must provide a valid national driver’s license at pick-up.
Minimum age is 21 years for all motorhomes.
Parking / Traffic Violations / Toll Roads
Customers are responsible for reporting and paying off all parking/traffic/toll road violations at rental termination. Non-reporting of parking/traffic/toll road violations will result in an administrative charge of up to USD 50.00. Non-reported parking/traffic violations plus administrative charge will be charged against customers credit card or will be collected at customer's domicile. Customers will have the option of buying prepaid toll packages at pickup.
- Death Valley from June 15 to September 15
- Logging roads, non-public roads and off-road driving
Northern Travel supplement
All rental vehicles travelling to Alaska, the Northwest Territories or the Yukon are permitted and must be confirmed in advance. A USD450.00 prepaid non-refundable supplement is required.
There is a 7 nights minimum rental period
No Pets Allowed
If this policy is not followed, the renter will be responsible for a penalty of up to USD 1,000.
Smoking is not allowed in any of our vehicles
Towing is not permitted.
Storing items on vehicle roof are not permitted.
Free storage of luggage is available at our location at owner's risk.
It is the renter’s responsibility to have the vehicle winterized if travelling to colder areas to prevent freezing. This will include the water pipes, toilet, fresh water tanks, sink, shower, external shower, hot water heater and holding tanks. Winterization requires that water is drained from the fresh water tank, hot water heater and both waste tanks. Once the vehicle is winterized, no water can be put into the fresh water tank and it cannot be hooked up to the city water supply anymore. Therefore, no water at all is available in the motorhome. The toilet, however, can still be used as long as windshield washer antifreeze is poured down to rinse. Winterization or de-winterization of a rental vehicle while on rent is at expense of customer.
Baby / Child Seat
Due to applicable law, a baby or child seat must be attached to the rear of the vehicle, not in the front seats. All coaches are equipped with minimum one anchor for three-point child or baby car seat attachment.
Dinette table may require lowering to install baby and child seats. The dinette table will only lower to seat level. Due to this other passengers will not be able to travel in the dinette area, if the dinette has been lowered.
All passengers must wear seat belts whilst the vehicle is in motion.
We, at Best Time RV, try to exceed recommended safety levels and do not believe in just meeting the bare minimum standards when it comes to protecting our customers and their children.
We know that children’s safety is important and that is why we strive to make available to our customers the most up to date and what we consider one of the best child safety devices available on the market.
Our clients can rent child seats from Best Time RV for $39 (plus sales tax).
This will bring them peace of mind while on the road.
It is the client’s responsibility to attach child seats to the rental vehicle because our staff is legally not allowed to advice attachment procedures of safety devices or physically attach any child seats for our clients.
All passengers must wear seat belts whilst the vehicle is in motion.

The rates on this website are often heavily discounted. This is due to our negotiated rates and bulk buying power. On very rare occasions, a rate may be displayed incorrectly due to our, or a vehicle supplier's error. In such a case, if you book with us at a quoted rate that is incorrect, we will notify you of any price change and give you the option to proceed or cancel. We make every effort to keep information on our site up to date, but we cannot guarantee this website is free of errors or omissions and retain the right to update or change the information published at any time.
To the extent permitted by law we/the owners of this website will not be liable to you or to any third party (whether in contract, tort, or otherwise) for any direct, indirect or consequential loss or damage (including but not limited to any accident, injury, delay or loss of enjoyment) arising out of your reliance upon information contained on this website, including but not limited to your use (or inability to use) any products or services described or procured through this website.
When you pick up your vehicle, you will be required to sign a rental agreement with the supplier of the vehicle. Your rental and use of the vehicle will be governed by the terms of the rental agreement and any other documentation or information provided to you by the supplier at the time you pick up your vehicle. The rental agreement is between you and the supplier and we will not be liable to you or to any third party in relation to the terms of the supplier’s rental agreement or any other documentation provided to you by the supplier at the time of pick up.
While we will make reasonable efforts to ensure we are representing only reputable suppliers, we make no warranty about the fitness or suitability of any third party (supplier) product or service and will not accept responsibility for the quality or fitness of any vehicle. If you encounter issues with the vehicle whilst on hire, you MUST report these issues directly to the relevant supplier at the earliest possible time. This will allow the supplier to remedy any issues and minimise any inconvenience to you. If you fail to report any vehicle issues during your rental, it is likely that compensation will not be offered. We welcome feedback from our customers on their experience with our suppliers. We may, at our discretion, provide you with reasonable assistance in resolving any dispute you may have with a supplier.
Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.95% credit card or debit card surcharge will be added when your payment is processed.
A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.
If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.
In booking on this website you acknowledge that we disclose your information to your selected Supplier in order to provide the requested rental services.
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is increased, an additional deposit may be required. If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Motorhome rental alterations (all charges stated in local currency): 25.00
The alteration fee will not be charged if your alteration request is not possible.
Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.
We are committed to providing a quality service and aim for complete customer satisfaction. In the event of cancellation, any refunds or penalties are detailed in the terms and conditions of your selected vehicle that you are asked to read and accept at time of booking. In the event you are unsatisfied with our service, please contact us within 48 hours of placing your booking or request and we will work to resolve any issues and determine if compensation is due. In the event you have completed your rental and are unhappy with your vehicle, we are happy to assist you in seeking compensation from the operator of the vehicle.
